Payment redirection cost Australian businesses $166.8m in 2025, and the email that does it comes from the supplier's real address, in the real thread. No filter catches it. A bookkeeper who checks does — if the check takes ten seconds instead of a phone call.
Works with Xero, MYOB and QuickBooks invoice emails as they arrive. Nothing to install on any client's machine, and no access to anyone's inbox — only what's forwarded.
The point isn't more vigilance. It's a rule that makes checking automatic, so nobody has to decide whether this invoice is the one worth a phone call.
“Any invoice with new or changed bank details is forwarded to Is it a scam? before payment.” A policy, not a judgement call — nobody feels foolish for checking.
You, or the client, forward the invoice email — PDF and all — to one address. The reply is back in about ten seconds with a plain verdict and the one thing to do.
From the third invoice, the reply confirms the supplier's details match last time. When they change, it says check first and tells you to ring the supplier on a number you already have.
Every reply names its reasons. That's what makes a check first something you can put in front of a client, dated.
“Before you pay, ring them on a number from their website — not one in this message — and read the account back to them.”
The first invoice from a supplier. Unknown details, said honestly.“The payment details match the last 4 invoices we've checked from acmesupplies.com.au — nothing has changed.”
The routine invoice, answered routinely. This is what keeps the forwarding habit alive.“This invoice shows different bank details from every earlier one we've seen from this supplier. Ring them on a number you already have before paying anything.”
The moment the plan exists for. Each client is on the standard Business plan — four seats, billed to them, cancel any time. A seat is a person recognised by their email, so the honest way to cover several clients is a client-specific address on each plan: acme@yourpractice.com.au, or you+acme@ if your mail supports it. Forward from that address and the reply, the supplier memory and the weekly digest all belong to that client and no other.
Running more than a handful of clients through it? We're working out what a practice plan should look like — a practice-wide view and a referral arrangement are the two things bookkeepers have asked for. Tell us what yours would need.
Forward it before the money moves.
